Responsibilities: • Organize and manage the calendar / diary of the department including meetings, appointments, workshops and visits as well as logistics and facilities. • Act as Office Manager, taking care of general office set up, administration, stationery and office equipment. • Arrange hotel accommodation, air ticket, transportation and other traveling requirements for the department and other concerned staff and visitors. • Maintain and manage a proper and systematic filing system. • Prepare and draft general correspondence, including letters, memos, faxes, reports, etc. • Coordinate and follow-up with the department team to ensure successful delivery on multiple tasks. • Prepare claims for reimbursements of business expenses. • Perform other one-off and regular assignments as requested, e.g. consolidation of data, preparing presentation material, cascading communication, maintaining high level organizational chart, processing various claims, organizing events, etc. • Effective and efficient delivery of secretarial and administrative support so as to ensure a smooth running of the office.
